We are seeking an exceptional person for our Office Manager position with highly developed administrative, data management and problem-solving skills. The position is responsible for creating a positive first impression on constituents and performs office and clerical duties in direct support of the Foundation’s operations and Board of Directors. Work is performed under the general direction of the Executive Director, but extensive leeway is granted for the exercise of independent judgment and initiative within the guidelines of specific laws, policies, and procedures.  The position works with detailed, complex, and sensitive materials and must exercise considerable judgment, diplomacy, and human relation skills as a routine part of the job.


  • Oversees accounts receivable/payable and coordinates with accountant for payroll; prepares bills for review, approval and payment
  • Receives monies, issues funds and prepares financial documents
  • Provides administrative support to Care Van program
  • Greets visitors, answers phones, schedules Care Van rides, and coordinates with drivers
  • Responds to foundation donors, sponsors, supporters and customers as needed
  • Coordinates schedules and arrangements for meetings of the Foundation Board and committees  
  • Records, edits, prepares and distributes documents for Board and committee meetings  
  • Prepares and maintains all official documents of the Foundation; prepares documents for publication and maintains the Foundation’s official records.
  • Assures compliance with legal requirements and established procedures
  • Gathers, interprets, and prepares data for studies, reports and grants as requested
  • Maintains systems for contracts, agreements, and minutes for day to day operations and grants
  • Provides project support such as grant research, preparation and presentation, project reporting, file management and record keeping
  • Performs a variety of administrative support duties including travel and registration arrangements, purchasing supplies, and maintaining confidential files
  • Manages website updates in coordination with the web-designer
  • Manages the check in/check out system at the Foundation’s annual Gala
  • Assists with other Foundation events as requested
  • Provides support to the Executive Director and Board of Directors as requested



  • Two (2) years of office management experience preferred
  • Excellent interpersonal and customer service skills
  • Strong data management skills with a high degree of accuracy and attention to detail
  • Experience with Quickbooks, Microsoft Office (Word, Excel, Publisher, Access), and Google Suite
  • Proficiency in general business office responsibilities, general record keeping responsibilities, and general office organization
  • Ability to problem-solve, think critically and make decisions independently
  • High level of time-management and organization skills; ability to manage multiple priorities and meet strict deadlines
  • Ability to maintain professional, working relationships with staff, volunteers, donors, community partners and other constituents
  • Excellent oral and written communication skills
  • Ability to maintain professionalism in appearance, speech and conduct
  • Experience managing confidential and proprietary information
  • Dependable and punctual
